This policy explains how we collect, use, disclose, and retain personal information when you visit letztalkmedia.com or another Letz Talk Media website linking to this policy, contact us, request a consultation, or otherwise interact with the website (the “Site”). It also describes our handling of business contact information in consultation and proposal conversations. A separate signed agreement may address information we process while delivering client services. This policy does not replace that agreement or the privacy policies of platforms you choose to use.

1. Information we collect

Information you provide. When you contact us or use the consultation form, we receive your name, email address, organization name and type, selected service, message, and any other information you choose to send. You may also provide a phone number. We may keep scheduling details, correspondence, proposal notes, and communication preferences. The form currently offers Strategic Growth, Organizational Development, Systems Development, Brand Development, Audience Growth, Nonprofit Development, Ministry Development, Compliance and Organizational Protection, and Not Sure Yet.

Technical information. Our hosting provider, Netlify, may process IP address, browser and device information, requested pages, referring page, and diagnostic or security data needed to deliver and protect the Site. The Site also requests fonts from Google Fonts; your browser makes a connection to Google's servers to retrieve them. We will update this policy if we add analytics, advertising pixels, or other tracking tools.

Information from other sources. We may receive business contact information from someone at your organization, a referral, or public business sources when relevant to a requested conversation or project.

Please do not send Social Security numbers, payment card details, passwords, tax returns, sensitive personal records, or confidential client files through the general consultation form. We will arrange an appropriate process if such material is needed for a project.

2. How we use information

We use information to respond to inquiries, evaluate whether our services fit your needs, schedule conversations, prepare proposals, deliver services under an agreement, maintain business records, operate and secure the Site, prevent misuse, and comply with applicable law. We may send messages about your inquiry or project. If we send commercial marketing email, we will provide the disclosures and opt-out process required by applicable law. A form submission alone does not enroll you in a text-message marketing program.

AI-assisted work. We use third-party AI tools in our ordinary work, including ChatGPT (OpenAI), Claude (Anthropic), Grok (xAI), and Perplexity. We also use AI features within design and video tools; those providers vary by project. We may enter information from your inquiry and related correspondence into these tools to organize details, research, draft a response or proposal, and evaluate how we may help. In client projects, we may use AI to support text, research, design, video, analysis, and other agreed work. These providers may process prompts, uploaded materials, and outputs under their own terms and settings. We may use additional providers as our tools change and will reflect material changes in this policy. A signed client agreement may set additional limits or permissions for project work. Please do not send sensitive or confidential records through the public inquiry form.

3. Consultation form and other providers

Our Site and consultation form are hosted by Netlify. Netlify processes form submissions for us; submissions are stored in our Netlify account and may also be delivered to info@letztalkmedia.com through a form notification. Netlify's privacy statement explains Netlify's practices when it acts on its own behalf; information Netlify processes for our Site is also subject to our service arrangement with it. We use third-party AI providers as described above and may use business email, scheduling, storage, and security providers to support our operations. Google Fonts delivers the site's fonts through requests made by your browser; Google's privacy policy describes Google's handling of information.

We may disclose information to providers that help us operate the Site or provide requested services; to professional advisers; when required by law or to protect rights and safety; in connection with a business reorganization; or when you direct or authorize a disclosure.

4. Cookies and analytics

The Site or its providers may use cookies or similar technologies for essential operation and security. The version of the Site described by this policy does not include our own advertising pixels or analytics cookies. You can manage many cookies through your browser. If we add analytics or advertising technologies, we will update this policy and provide any controls required by applicable law.

5. Retention and security

We keep information for as long as reasonably needed to handle inquiries, maintain client and business records, meet legal obligations, resolve disputes, and protect our rights. Retention periods may depend on the type of record and applicable law. Form submissions may remain in Netlify until we delete them; business email may hold notification copies. We use reasonable administrative and technical safeguards appropriate to the information we handle, but no online system can be guaranteed completely secure.

6. Your choices and rights

You may request access to, correction of, or deletion of personal information by contacting info@letztalkmedia.com. We will respond as required by applicable law, subject to identity verification and any lawful exceptions. You may unsubscribe from marketing email using its unsubscribe link. If applicable law grants additional privacy rights, including a right to opt out of certain advertising data uses, we will provide the required process. We will not discriminate against you for exercising a right protected by law.

7. Children and external sites

The Site is intended for adults seeking business services and is not directed to children under 13. We do not knowingly collect personal information from children through the Site. Links to third-party sites and social platforms are governed by those providers’ own policies.

8. International visitors

Our business and providers may process information in the United States and other locations. If a privacy law outside the United States applies to our processing, we will provide rights and transfer safeguards required by that law.

9. Changes and contact

We may update this policy when the Site, services, providers, or law changes. We will post the revised policy with a new updated date and provide further notice when legally required. Questions or privacy requests may be sent to info@letztalkmedia.com or 5720 Citrus Blvd, Unit 10911, New Orleans, LA 70181-5038.
